Job Description:

The Administrative Assistant supports our Sales Team and Production employees. Some of the daily tasks are receiving incoming phone calls, scheduling appointments using MS Outlook, routing messages correctly, assisting high profile clients with any inquiry, preparing invoices/working with various vendors, coordinating billing, organizing & filing, entering payroll data, creating daily work orders, running various database reports, attend sales meetings/record minutes, order & maintain office supplies & equipment. Must work well independently as you will be in the office alone for much of the working day.

Job Requirements:

REQUIRES THE FOLLOWING SKILLS: � Ability to handle busy incoming customer service calls � Advanced Outlook calendaring experience � Ability to multi-task simultaneously in fast paced environment � Ability to work without the need of constant supervision � Time Management to ensure timely actions/follow up on requests � Ability to quickly learn and use new computer software programs � Accounts Payable and Accounts Receivable/billing experience � Organization Skills and willingness to develop and follow systems � Proficient in Word, Outlook, and Excel � Effective communication skills and customer service skills � Accurate, detail-oriented, proficient, and enthusiastic � Customer focused � Administrative and office support to Manager � Strong leadership skills � Bilingual-Spanish/English a plus
